According to the rules of the conference, as stated in the acceptance letter and on the conference website, presenting authors are expected to be available for the entire duration of the conference.
As outlined in the acceptance letter, we are unable to guarantee or avoid specific dates or times for individual presentations. Scheduling conflicts for registered authors are automatically resolved by the scheduling software. Therefore, we are unable to accommodate rescheduling requests. With over 2,200 participants, rescheduling a single presentation would affect not only the relevant panel but also many others, due to the necessary cascading adjustments across the programme.

Each year, the ESC receives feedback regarding sessions scheduled at less favourable times or in rooms perceived as less convenient. However, it is important to understand that due to the size of the ESC conference, manual scheduling is not feasible.
Scheduling is managed automatically by the built-in software on the AllAcademic platform. Sessions within the same thematic area are scheduled in the same room, in the order they were submitted by working groups or panel organisers. Parallel sessions within a thematic area are scheduled only when the number of sessions exceeds the available time slots. This order is only adjusted when the software identifies scheduling conflicts for participants, which it resolves automatically without manual intervention.
Please note that room assignments currently shown in the draft programme may still be subject to change prior to the conference.
Details regarding working group meetings and pre-conference meetings will be added to the programme no later than 20 August.
Due to potential last-minute withdrawals, the programme may continue to change up to the final hours of the conference. As a matter of policy, we do not dissolve panels unless the number of papers in a regular session drops below three. (Decisions regarding roundtables and author-meets-critics sessions will be made on a case-by-case basis.)
As many participants will have already booked their travel by the time the draft programme is officially published, any subsequent changes involving a shift in the date or time of a presentation will be discussed with the affected participants beforehand. Where possible, they will be offered suitable alternative panels on different dates and times before any reassignment takes place.
The schedule on this website always reflects the most up-to-date version of the programme. The official conference app—coming soon—will also contain real-time updates. App Store download links will be posted here once available.
